Our Policies

We here at Smoke Hole Resort want you to know that we sincerely appreciate you choosing us for your vacation getaway. We especially hope that you not only have a memorable time, but we want to make sure you are safe and comfortable.

However, being in business for over 30 years, we have come across some unfortunate incidents that have guided us to create certain rules.

These rules are only for your safety and the safety of others enjoying Smoke Hole Resort.

If you have any complaints at all, please feel free to contact us at the registration desk, and we will do our very best to accommodate your situation.

The Smoke Hole Caverns and Log Cabins is an exclusive property where every guest reservation is both important and special to us. The following rules, regulations, and policies are enforced at each property. It is the responsibility of the registered guest to take all reasonable steps to see that members of his/her family or other occupants adhere to the rules, regulations, and policies.

Rates

All rates are subject to a 12% tax and a cleaning fee ranging from $35-$150.

Rates are subject to change without notice. Rates are slightly higher during holidays and peak seasons.

Reservations are easily made online or via telephone. We are happy to speak with our customers!! The Reservation Desk is open from 9 am to 5 pm in the winter months and until 7 pm in the summer months.

Two Night minimums for non-holiday weekends.

Three Night minimums for holiday weekends.

Reservations made with less than 48 hours notice will not be accepted.

Number of Guests

Rental is limited to the stated number in the party. Unregistered guests are not permitted in the rental units or the property due to liability insurance reasons. Unreported guests will be asked to rent their own rental or vacate the property.

Cost for each person above the maximum occupancy is $50 per night or possible eviction without refund.

Note: Honeymoon Log Cabins do not accept children. Please request one of our family units or a room at our log motel.

Age of Guest

Rentals are limited to adults of twenty-one (21) years of age or older. If you rent a unit under false pretenses, you will be asked to leave the property.

Check-In/Out Process

Check-in: 4:00 PM. The lodging office is located at the Smoke Hole Caverns Gift Shop for all lodging check-ins. We are open in the winter months till 5 pm and summer months till 8 pm. If you expect to be arriving after check-in, no problem, please notify the main office by phone at 800-828-8478 and they will give you the rental number and directions and you can check in the following day at the gift shop.

Check-Out: 11:00 AM. Failure to depart the cabin on schedule may delay cleaning services resulting in additional charges not to exceed $50.00.

Key Return

Guest(s) is/are responsible for the return of the property key. Guest(s) will be charged for the costs of re-keying or replacing of the lock. Please leave the key on the table/dresser upon checkout.

Pets

No pets are permitted on any of the lodging properties.

Pet/Guest Eviction without refund.

Cleaning fee $250.00.

Smoking

No smoking permitted in cabins! Smoking is not permitted inside any of our rental units per Grant County Health Department. Smoking is permitted outside only and a cleaning cost of $250.00 may be applied for odor abatement and cleaning services for a guest that chooses not to abide by the policy.

Indemnification and Hold Harmless

Guest(s) shall be solely responsible for any property damage, accident or injury to any person or loss sustained by any person arising out of or in any way related to Guest(s) use of the premises.

Disruptive Behavior

Any loud or disruptive behavior, abuse of alcohol or drug usage, fireworks, profanity or misconduct of any kind will not be tolerated and will result in vacating the property immediately without refund. Occupancy and use of premises shall not disturb or offend neighboring guests or residents. Quiet hour begins at 11:00 pm.

Alcoholic Beverages/Illegal Drugs

Consumption of alcoholic beverages in rental is limited to persons of legal age. Illegal drug use is strictly prohibited and will result in immediate eviction with no refund and reported to law enforcement.

Nature

Deer, insects, flies, ladybugs, carpenter bees, wasps, ants, chiggers, etc may be encountered in the mountains. There is no refund for the presence of typical mountain creatures.

Fishing

Trout Pond is for fishing with Smoke Hole Outfitter guides only and time schedules can be arranged for evening times. No fishing license is required.

No fishing from the back porches of any cabins. Fishing is allowed in the North Fork River located near all rental units with a mandatory fishing license. You can obtain a West Virginia fishing license from the lodging office at the Smoke Hole Caverns Gift Shop.

Wood Burning Fireplaces

The real wood-burning fireplaces are seasonal and wood may be purchased from the Gift Shop. No fire will be left unattended, and no other item (charcoal, accelerants, etc.) will be burned in wood-burning fireplaces. Guest(s) agrees to pay not less than $100 if any items other than wood are burned in the fireplace.

Jacuzzis

Please drain all water from Jacuzzis after each use.

Candles

Use of wax votives/dishes are not acceptable in burning candles and not permitted in cabins. Battery operated candles are available for purchase at the gift shop.

Swimming Pool

Two swimming pools are permitted for the use by only Smoke Hole’s registered guests and are not to be used by any other neighboring guests, friends, visitors, or family members who are not registered with Smoke Hole Resort per insurance company. Refusing to follow the rules will result in the elimination of pool privileges during your visit at Smoke Hole Resort.

Fire-Pits

Fire Pits are located along the riverbanks and throughout the properties for your enjoyment. No firepits shall be constructed on properties that don’t have them, and no outdoor fires of any kind shall be permitted outside of existing fire pits or at properties that do not have fire pits. Charges may be applied to dismantle the fire pit.

Furnishings/Furniture

All furnishings/furniture in the rentals needs to remain in designated original layout upon checkout. Guest(s) agree(s) to pay for cleaning services being delayed caused by rearranging the furniture.

Payment

Cash, Traveler's Check, Money Order, All major credit cards—No Personal Checks.

Reservations

At the time of a reservation request, a deposit will be required. The deposit will be 50% of the total cost of the reservation. The balance due for the entire reservation will be required at check-in. An email confirmation will be sent to you once your reservations are complete.

Customer agrees that the credit card used at check-in is the card that shall be used for damage/cleaning/additional person and/or pet charges and that their signature on this form authorizes same. Failing authorization, the card used for the reservation deposit shall be used, and their signature on this form authorizes the same.

Cancellations

If your cancellation occurred 2 weeks on Honeymoon Cabins, 30 days on family units, or 48 hours on our log motel on your arrival date we offer a refund of your deposit less $25.00 handling fee for each unit reserved.

If your cancellation occurred within the above limits, you lose the full amount of reservation.

If you do not show up for your reservation, you will not be issued a refund.

Departure

Damage to Property—premises are to be left in a clean, undamaged condition. Additional charges may be assessed to cover repairs or special cleaning.

Garbage Disposal—all garbage must be bagged in trash bags provided prior to departure. Failure to properly bag and/or remove garbage from the cabin will result in an assessment of additional charges.

House Cleaning

House Keeping Services are provided to all the log cabins and log motel guests only. This consists of supplying fresh towels, remaking beds, removing trash and property inspection. If you are staying in one of our other rental units, you will not receive housekeeping services.

Staff and Management may enter the rental unit for the purpose of inspection and verification of maximum occupancy at any time.
